1. Information we collect

Account and contact details: your name, studio name, email address, phone number, city, state, ZIP code, whether you are a studio or an independent dancer, and your studio code.

Dancer details you add: first and last names and dates of birth, so we can place dancers in age divisions.

Entry details: routine titles, entry types, categories, a one-sentence performance intent, music files, and any props, extra setup or tear-down time, or accommodations you request. Accommodation requests can relate to health or disability, so please share only what we need to plan for the dancer.

Registration and payment records: events, confirmation numbers, amounts, and payment status. Card numbers are handled by our payment processor and are not stored by us.

Messages and forms: what you send through the Contact page and the Express Your Interest form, including any city you suggest for a future event.

Basic technical data: what your browser stores so you stay signed in and keep your settings, such as your color theme.

2. Children’s information

Portal accounts are for adults: studio owners and staff, independent dancers who are adults, and parents or guardians. We collect information about dancers under 18 only from the adult who holds the account, who confirms they have the authority to share it. We do not ask children to create accounts. A parent or guardian can ask us to see, correct, or delete a child’s information at any time.

3. How we use information

We use it to run events: place dancers in age divisions, schedule and score performances, publish results, confirm registrations and payments, plan for props, time, and accommodations, and answer your questions. We also use it to keep accounts secure, prevent misuse, and improve the website and portal.

4. Who sees it

Our team at Hicks Virtual Solutions LLC and Evolution Production Company, who help run LEVELESS events. Event staff, judges, and volunteers see only what they need for their job, for example routine titles, categories, and schedules.

Service providers who help us operate, such as hosting, email delivery, and payment processing. They may use your information only to provide that service.

Studios and dancers see their own account information. Results and scores may be shared with the studios and dancers who took part, and results may be published with dancers’ first names, studio names, and placements.

Authorities, when the law requires it or when needed to protect safety or rights.

We do not sell your personal information.

5. Photos and video

We photograph and record events. We may use images, recordings, dancers’ first names, and studio names in marketing as described in the terms. To limit this for a dancer, contact us before the event.

6. Email and marketing

When you create an account you agree to receive emails about events, registration dates, schedules, and results. You can opt out at any time with the unsubscribe link in any email or by contacting us. We may still send messages about your account, registrations, and payments, because those are needed to run your entry.

7. Storage, security, and how long we keep it

We use reasonable safeguards to protect your information, but no website or storage system is completely secure. We keep account and entry records for as long as your account is open and for as long afterward as we need for event records, payments, taxes, and disputes. You can ask us to delete information we no longer need.

During the preview period, the information you enter in the portal demo is saved in your own browser on your own device and is not sent to a server.

8. Cookies and browser storage

The website and portal use your browser’s storage to keep you signed in and remember choices such as your color theme. This site does not use advertising trackers at this time. You can clear browser storage at any time, though you may be signed out and lose saved preferences.

9. Your choices and rights

You can ask to see, correct, or delete your information, to close your account, or to opt out of marketing email. Parents and guardians can make these requests for dancers under 18. Contact us and we will respond within a reasonable time. Some records, such as payments, we may need to keep.

10. Changes to this policy

We may update this policy. The updated version will show on this page, and we will tell account holders about material changes.
